What should you check before sending a farming mailer?
Check the local content, both sides of the print layout, current postal acceptance and preparation requirements, the mailing order and the action you want a homeowner to take. If you also use a matching email, check the sending basis and required message elements separately. A polished front page does not make the whole campaign ready.
The Canadian Neighbourhood Farming Campaign includes twelve editable front/back mailer pairs and twelve matching emails. Its 9 × 5.5 inch layouts are starting files for personalization and printer review. They are not certified press-ready PDFs or Canada Post-approved pieces.
Personalize the message before reviewing production
Replace every prompt with your actual contact details, local information and required brokerage wording. Read the entire piece after replacement. A repeated footer, placeholder telephone number or outdated link can survive an otherwise careful edit. Check that your chosen action leads somewhere useful and that a colleague can follow it.
Keep one clear invitation: ask a question, request a local report or discuss a future plan. Avoid claims about guaranteed prices, response rates or investment outcomes. A market statistic needs its geography, property type, period and permitted source credit. Use the quarterly report checklist when a touch contains market figures.
Review the front and back as a pair. Confirm that their topic, campaign code, contact route and intended audience match. When editing changes the page flow, check whether text has moved to another page or become too small. Google Docs is useful for working copies, but exporting a file is not a substitute for a production proof.
Obtain a proof for the actual print job
Ask your printer to confirm trim, bleed, safe areas, paper stock and duplex orientation for the job they will produce. Their specifications should control the production file you approve. Do not assume that the document's page size includes the bleed or that a home-printer preview proves the final two-sided alignment.
- Inspect both sides at a readable size.
- Confirm no contact details or source credits are cropped.
- Check QR codes and links against the final destination.
- Confirm quantities, finishing, taxes and delivery arrangements.
- Save the approved proof and the supplier's instructions.
A physical proof may reveal a stock, contrast or alignment problem that a screen does not. Agree who approves changes and which file is final. The editable kit does not include printing, postage or a mailing service, and the fictional preview costs are not supplier quotes.
Check the current mailing process and preferences
Use the current Canada Post information for the specific service, piece and order method. The Neighbourhood Mail order guidance describes mailing-plan and delivery-slip preparation for manually prepared orders. Follow the actual instructions for the route you choose; a tracker row is not a postal order or proof of acceptance.
Confirm current requirements with the service or provider before production and deposit. Keep order and payment records, and check current delivery information rather than promising arrival on a date supplied by a template. Record actual deposit and delivery information distinctly from your original target date.
Canada Post's Consumers' Choice information explains the postal preference process for unaddressed advertising. Follow applicable service rules and record requests made directly to your business through your approved process. Postal preferences and permission to use another channel are separate questions.
Make the matching email a separate sending decision
Do not assume that a household receiving a flyer, viewing a page or asking one question has agreed to an ongoing email campaign. Check the actual recipient record and purpose. The CRTC CASL FAQ identifies consent, sender identification and an unsubscribe mechanism among the main requirements for commercial electronic messages. Check how those requirements apply before sending.
Personalize the chosen email, confirm the sender details and links, and test the actual sending setup. The kit's TXT copies make the same twelve emails easier to copy; they are not an installed CRM sequence. Your provider, suppression process and permission records remain your responsibility.
Use the twelve-touch plan to coordinate work, then respond to the person in front of you. A request for one report should lead to the requested report and an appropriate next step. A reply or pause preference should change the plan where needed. These checks support a useful campaign; the templates do not certify compliance or guarantee enquiries.
