BUYER & SELLER FOLLOW-UP / CANADIAN REALTORS

An open house follow-up plan that starts with the conversation

Turn your notes into a useful next step while the visit is still fresh.

Prepare the next step before opening the door

Decide how you will record a visitor’s question and an agreed follow-up. Use your brokerage-approved process for collecting and handling contact information. A sign-in entry should not be treated as permission for every kind of future marketing.

Prepare the property information and a short way to explain what happens if someone wants more help. The Open House Kit gives you editable Canva pages and a printable PDF to support the event; you still decide how the follow-up fits the conversation.

Write the question, not a vague lead label

“Hot buyer” says little about what to do. A more useful note records what the person actually asked and what you promised.

FICTIONAL FOLLOW-UP NOTE

“They asked about room dimensions and want a second visit if the layout works. I will send the available floor plan on Monday. They prefer email.”

If they are represented, follow your brokerage’s process and professional obligations before taking further action. Do not infer readiness, budget or motivation from appearance.

Send the promised information first

Start with the item you agreed to send. Keep the message brief and refer to the specific question. If you do not yet have the information, say when you expect to follow up rather than filling the gap with a guess.

“Thanks for visiting today. Here is the floor plan you asked about. Would you like to arrange another look once you have had a chance to review it?”

Adapt the wording and channel to the person and your brokerage process. A useful next step might be an appointment, a response to a property question or no further contact.

Close the loop the next working day

Review your notes, complete the promises that are due and record any replies. Keep a date beside unresolved questions. Where a visitor asked for no follow-up, make that visible so they do not end up in a general message batch.

Measure completed commitments, useful replies and appointments alongside attendance. Twenty visitors do not automatically mean twenty future clients. The practical value comes from understanding which questions you can help answer.

For a buyer whose plans later pause, use the approach in reconnecting with a paused buyer rather than repeatedly sending listings without checking their timing.
