PRACTICAL EMAIL SETUP / CANADIAN REALTORS

How to prepare seller nurture emails in your CRM

Plain-text copy gives you a useful starting point. Your actual sending setup still needs review and testing.

Can you paste a nurture kit straight into a CRM?

You can copy suitable text into your chosen service, but a copy library is not a configured campaign. Check the recipient record, choose a route, separate the subject and body, replace placeholders and test the sending and stopping behaviour. A bracketed instruction in a document is not automatically a working merge field.

The Canadian Seller Nurture Email Campaign supplies DOCX guidance and plain-text copy. It does not include an account, subscription, one-click importer or verified integration with a particular CRM. No paid software is needed to read the files; your service may have its own charges or feature limits.

Start with the contact and route, not the import button

Review why this homeowner is in the future-seller workflow and what they asked for. Record the selected opening, approved timing, communication preferences and the evidence location for the send basis. If permission is uncertain, keep scheduling off while you check. Do not import a list merely because email addresses are available.

Choose general, next spring, after renewal or still deciding. The first three monthly positions have alternative openings. Later positions use the shared core messages unless an appropriate milestone replaces one. A contact should not receive both a specialist opening and its matching general email.

Use the twelve-month planning guide to map that choice before touching automation. A homeowner already preparing to list may need a personal consultation rather than the opening months of a long campaign.

Copy only the fields that belong in the email

  1. Open the appropriate individual TXT file and choose one of its two subject lines.
  2. Put that choice in the CRM subject field.
  3. Copy the email body into the body field, leaving internal conversation prompts and next-step notes out of the send.
  4. Replace every bracketed instruction, sender detail and link with verified information.
  5. If using merge fields, insert the service's actual fields and check the missing-value behaviour.

Keep the copy plain enough to review. A subject list, filename, agent note or instruction should not appear in the recipient's message. Do not use the fictional names, example.com URLs or dummy sender details shown in marketing screenshots.

PRE-SEND CHECK

Preview the message as a recipient. Does the greeting have a valid value? Is the correct subject selected? Does the link open the intended page? Are sender details real? Are internal notes absent? A successful paste answers none of these questions on its own.

Test stopping behaviour as carefully as sending

Use an authorized test contact in your actual service. Verify the subject, body, links and reply destination, then test what happens after a reply, an opt-out and removal from the campaign. Check for duplicate enrolment and queued messages that remain after a contact changes status. A DOCX record or a tag name does not operate these controls.

The CRTC's guidance explains the importance of identification and unsubscribe handling for commercial messages. Use a real, monitored process. A written placeholder cannot receive a withdrawal or remove a queued send. Review the actual setup and applicable requirements before activation rather than treating the template footer as a compliance guarantee.

The kit's default monthly cadence is a planning choice, not a legal safe harbour. Test the CRM's calendar, time zone and scheduling rules separately. Do not send every message at once because a bulk import created the records successfully.

Maintain a working record after launch

Assign responsibility for checking replies and updating the next action. If the homeowner is ready to discuss a move, pause the nurture route and arrange the conversation. If timing changes, review the plan. If a message is no longer relevant, skip or replace it deliberately rather than letting an old queue make the decision.

Keep the clean master files separate from per-contact notes. Store evidence and confidential records in your approved system and restrict access. The kit's Consent and Contact Record supports documentation; it does not establish consent, extend an expiry or synchronize suppression across services.

The CRTC consent guidance is a reference for reviewing the actual contact basis, not a reason to assume that every past inquiry belongs in a new campaign. Keep a paused buyer in a buyer-specific workflow; keep the seller campaign focused on the homeowner's stated plans. Review the results as conversations and completed commitments, without treating an open or a click as a listing.
